With the arrival of new individuals, organizations can view existing processes and routines differently. This creates space for the organization to adapt to changes.

Continuous improvement as a routine

Employees are increasingly asking employers to renew their work. They are becoming more assertive and also opting for alternatives if they don’t like it. Moreover, more and more organizations are seeing that not all old ways of working still serve them. As a result, organizations face the challenge of operating more efficiently and flexibly. With the arrival of new technologies, services and products, it is also possible and better needed to improve. Motivated employees who actively evaluate and improve their work processes increase the competitiveness of the organization. The condition here is that continuous improvement becomes routine in the workplace.

Constant change

To be able to keep innovating constantly, the right culture and infrastructure in an organization is required. The management of employees by management is changing. Employees are given more room to excel themselves and teams are put together more to innovate together. It’s about the right balance in this. The framework must therefore be very clear. Both the output that is requested from employees, the people who can participate in innovation, and the time that is available for it. This requires a rigorous break with routines.

2. Improve the office

How important is the office space with permanent workplaces in 2019? Does there still have to be an office or does that serve as focus space? Is there a large room where everyone sits together or are there many separate rooms where you can call or hold meetings via video ? It is important for employers to see whether or not they should invest in the office building in the future or in other options. By talking to employees about their routines and discovering together what the new way of working looks like, you gain new insights. Based on those insights, you can create a fantastic functional office building where people feel more at home, more satisfied and proud of their employer.

3. The performance of employees

Performance interviews are often held in a separate room, in a static position. The employee sits opposite the employer, just as with the application at the start. This immediately creates a certain atmosphere. This has an effect on the course of the conversation. If employees get more daily control and there is more room for feedback. Then functioning is no longer a heavy subject. It’s a conversation that everyone knows what’s coming. That is why it is best to also conduct this in a transparent room or in the open air. The space, but especially the openness, make a substantial difference.

Giving employees space and, where necessary, guiding them makes them feel heard and connected to the organization. Breaking routines, giving space to people and having an open work culture are only benefits for many organizations. And Activity Based Working is a perfect tool to take a big step in that. The success of every organization is hidden in the daily routine. So don’t get stuck in old habits.

There are quite a few skills involved in running a self-managing secretariat.I am not a super expert in self-management, but let me explain which skills you need or need to develop. I will also explain how you can become a sparring partner for your manager.

What are the skills you need for self-management?

How do you keep the balance between reacting proactively and proactively, thus preventing ad-hoc requests versus problems?

“By understanding that you cannot influence everything in life, but that you do have influence. You are the one who determines how you deal with certain situations, always! You can be disappointed that something happens, you can accept that it is, but you can also try to implement changes. And fight for that. That means that sometimes you have to accept that you cannot change things.

But even then you do have the option to determine how you deal with it. It is often quite confronting to hear, but you really do not have to see yourself as a victim. Sometimes you just have to think: I have tried everything, but it has not been possible to change it, so then I have to accept that it is. But I do know what my need for the future is, so I have to say that more. “

If you continue to receive many ad hoc requests. How do you manage self-management?

“Well, those ad hoc requests belong to the profession. Some secretaries go under, especially if you therefore have no room for other things. I know one thing for sure: requests that come in ad hoc always keep returning to your work.

Therefore divide your day into three parts. You do routine work at a time when your energy level is low, because you will succeed. The afternoon is suitable for this. The moment you are very sharp, you do the work that you have planned: the larger jobs and projects that require strategic thinking, the future plans of the team.

You often do these things in the morning, but beware, plan the time for this yourself in your agenda! As a secretary you often receive last-minute requests, so the more space you seem to have, the greater the chance that you will be snowed under by all kinds of tasks that have or seem to have priority.

You keep the third part of the day free in your diary for ad hock loops. Try to keep that to a minimum and let your environment know what they can do, so that you can help them as quickly and effectively as possible. If you get something on your plate last minute, then express your need for the future, but accept for now that it is no different. ”

When do you take responsibility yourself and when do you place this with colleagues or your supervisor?

“Always look first at what something costs and what it yields. Management assistants are sometimes inclined to take on a lot of responsibilities and to work themselves upside down. Others are very good at shedding everything and evading their responsibility. And yet you hear them complaining about things that you or colleagues would do wrong. The balance between giving and taking responsibility is different for everyone. My tip is to look at what you want and how you can ensure that you manage that. ”

How do you develop into a sparring partner for your manager?

“Think about what you want, think about what your supervisor wants and see where the overlap is. What is your common interest? What is the significance of the organization at a deeper level? And what is your contribution to the output of the organization? Discuss how you can implement this.

Content is often not that important. So as a secretary you don’t have to know about major infrastructure projects, complicated financial products or the latest operating equipment. A manager often does not know very much about the content either. You just have to understand what needs to be done to achieve the goal of the organization and how that can be planned. At that moment you can participate at the strategic level. “

So you don’t have to know anything about the content?

“Of course it works better if you know something about the content, so you know what it takes, but you don’t have to know all the details. I recently heard from a municipal secretary that she also read all the policy documents to be informed about the content. She said, “I know I never reach that level, but I really like to be aware of the broad lines of my manager’s field, so that we speak at least in the same language.” You do not have to fully master the content; as long as you understand what it means for you, the manager or the organization. That way you make the difference as a secretary and, of course, as a team together. ”

Three essential points for achieving self-leadership

  1. Know yourself and stay close to yourself.
  2. Know your client; read in and know which field your client is on.
  3. Make a plan. Do not think: this is interesting, I will do something with it in the future, but draw up a concrete plan to achieve that goal.

What will you do and what will you do in two weeks? Write it down, discuss it with your environment and make sure you get moving. Every long journey starts with a first step. That first step can and may be small, but it is very important to actually take it. For example, have you had the intention to follow a course for years, but has it never happened? That is probably because you have not taken the first step; identify which courses there are. The moment you take the first step, the next step also becomes easier.

Your employees have certain technological expectations that you will have to meet. If you give them the right resources, you ensure more productivity, better cooperation between team members and better communication with customers.

If you don’t do that, you have a chance of employees losing the pleasure of their work. This does not improve contact with your customers. And if the customer experience lags behind, there is always a competitor who wants to take over the customer from you.

What does digitizing look like to you?

You need to find out in which areas you need digitization to align your business with your business strategy. Including objectives such as business growth, cost savings, process improvements and specific project objectives. How do you do that?

If you take the right steps on the road to digitization, the agility and productivity of your employees will increase and they will work better together. Why? Simply because it becomes more fun to work at your company. To begin with, ask yourself three questions: what are your business objectives, which processes are you currently using and with which technology can you bring the two in harmony? In this article we explain in three steps how you can make digitization a success.

1. Take a closer look at your document management

To get from point A to point B, you first have to know what point A looks like exactly. You will find out by first taking a close look at how documents are handled within your company. How is printed? And what does the document management look like? Will you die in the paper? Are there overcrowded filing cabinets throughout the organization? On the basis of these types of questions you will discover which model of digital maturity your company falls into. In this way you better understand how far you are in the digitization process and what course you want to take. Perhaps one of the following three scenarios applies to your situation:

  • Lots of paper: to continue the core business, a lot is done by hand and on paper, with some use of digital data management.
  • Digital : digital technologies and data are used to stimulate emerging business and your people get insights where they can do something.
  • Completely digital: to obtain new business, you organize your activities, processes, etc. in such a way that you can optimally utilize the benefits of digital technologies.

In terms of digital maturity, no company fits exactly within one of these three frameworks. Some have yet to start scanning their paper documents. They still do everything by hand and on paper. Others have already digitized certain processes and are on their way.

Map your document processes

You will therefore determine how ‘mature’ your company is in terms of digitization by mapping your current document management processes. It is important to keep your business objectives aside and to draw up recommendations for next steps. You could actually see all these activities as one step. If you look at the current state of printing and document processing, future business goals also suddenly become much clearer. You can consider engaging a consulting team with a lot of experience in the field of digitization. These people can help you view the existing situation objectively. But whether you involve a consultant or not: by starting to think differently about technology, you will gradually make better decisions.

Digitization experts understand that companies have little use of technology if it does not effectively support their strategic activities and innovation is not forthcoming. By starting to think differently about technology, you will better understand what technology is worth for achieving better business results. But before you come to that, you first have to know which route data is still covered by your entire organization.

Look at your current printing infrastructure

Also check to what extent the current printing infrastructure consumes the time of your IT staff. Companies often do not use their printing technology in such a way that the processes actually run more efficiently and IT people can deal with more relevant issues. Maybe it makes much more sense to trade in your print server for the cloud. This gives your employees more time for activities that contribute to your business strategy. If your print infrastructure is already partially or completely in the cloud and you scan your documents directly to the cloud, you already have a higher maturity level than a company that processes all the print work locally. This is a step in the right direction. Once you have a good idea of ​​your current document management processes, you can explore the possibilities of further digitization.

2. Make your processes more efficient with digital data

According to research agency IDC, “87% of directors claim that digitization is a priority. But we often see that they don’t understand the ‘why’. In short, they see digitization only as a collection of technologies and solutions, not as a means to work towards their business goals. The belief that you have to look for technology ‘because you have to’ doesn’t help you find the right technology for your company. Before you start looking for the right technology, you must ask yourself the following:

  1. How can we make better use of data to ensure that our technology works better and that our employees can act faster?
  2. Which manual processes can we automate, so that our people have more time for activities that contribute to the business strategy?
  3. How do we get a digital workplace on the ground that makes our employees more analytical, flexible, innovative and creative?

Based on the answers to these questions, a future image of user-friendly document processes is formed throughout your organization. With that in mind you will determine how you would ideally digitize your data in a way that benefits user processes from start to finish. Below we will take a closer look at the above questions:

Question 1: Determine whether your company is sufficiently capable of continuing and maintaining the core business. These days we need to be able to exchange ideas and information at lightning speed, but the traditional office is not designed for that. From the answer to the first question you can see at which points fast action matters most for your business. This way you can find out which information processes could use a little more efficiency.

Question 2: Discover how you can promote emerging business. For this, employees on location and at a distance must be given the opportunity to act more flexibly and have time for activities that contribute to your business strategy. You give them that freedom by automating manual processes. Once you have identified which processes need to be automated, you can start looking at collaboration tools that allow your employees to exchange ideas more freely with each other and with your customers.

Question 3: Ultimately, you must determine how you want to create new business in the future. You do this by giving your employees the digital support they need to exchange ideas with each other and work in a more innovative way. With all of today’s workplace solutions you can leave productivity largely to technology and your employees can engage in innovation. This is a future-oriented approach: thanks to digitization , your team can work better on your business objectives.

You can also see digitization as follows: it is a step that allows you to switch from slow, inefficient printing processes to optimized workflows. Once you have determined how you can best store digital data and share it with your employees and customers, you plan how you can optimize this data through user processes. In other words: you are going to plan how to get your team to work optimally.

3. Use digitization to let your team perform optimally

In step 2 you investigated how your employees can use data in a more efficient way. In step 3 you will look at how you can optimally organize all processes throughout your organization. With that you can:

  • Give internal and external employees the time and resources to collaborate more easily and effectively.
  • Let your employees work better and more productively with handy technology that ensures streamlined workflows.
  • Measuring data and making information more transparent for employees, so that they can make informed decisions.

Choose the right technology

Exactly how you look at this step is important. It is not so much about using the technology itself. You want to influence the behavior of your employees by improving processes using the right technologies.

Limit the number of manual operations and make your data processes more efficient. Then you make the difference between technology at home and at work smaller – and you deal with the frustrations among your employees. It is important that you focus on the ‘how’ of the workflows: how exactly must those processes change in order to achieve optimum results? The answer to that question leads you to the specific technologies that match the unique work styles of your people.

Stay ahead of the competition

Have you done little to nothing about digitization? Then remember that today’s economy relies heavily on technology. And also remember that you can only keep up with the competition if you provide your employees with the right tech. Urgent action must therefore be taken. The sooner you start digitizing, the better you can stay ahead of the competition.

In a special Environmental Impact Assessment the revelation of new bitd species in Guyana are recorded. In the EIA it is indicated that 230 types of winged animals were recorded. This brings out that it is an expansion of 22 more species of what was recently known.

As per the Assessment, “Seaside destinations represented 212 species and island locales represented 140 species, with 121 species found at both beach front and island locales. Profiling yourself: how do you do that?

Profile yourself: something positive and natural for one person, a word with a negative sound for another. But profiling yourself is nothing more than ‘adopting a clear character of your own’.

Success factors in profiling

In that sense it has nothing to do with bragging. How do you profile yourself, how do you make yourself visible in the workplace?

By giving some extra attention to the points below you can profile yourself even better. Try to name them for yourself and write them down.

Self-awareness

Be aware of what you have at home. What is your talent? What are your motives? Name them for yourself. That way you can make them clear to others.

Transparency

Make it clear to colleagues how you approach things. In this way they get to know your approach, qualities and motivations. So communicate and keep others informed. Do a  Personal branding training where you learn how to show more of yourself in a natural way.

Communicate concretely and powerfully

Support your story with practical examples. So make it concrete and do not weak yourself. Do not say that you ‘have a little experience with organizing’, but tell what experience you have gained.

Celebrate and share successes

“Modesty graces the human being”, that’s for sure, but it’s also nice to celebrate and share success and be proud of what you achieve together. Important factors: enthusiasm and honor that is due.

Stay in touch with the other person

Simple: if you want to be seen, then also see the other. For example, if you are celebrating a success, do not draw the success to yourself, but also mention the contributions of colleagues.

Dare to learn

  • How do others (that you appreciate) present themselves?
  • Accept a compliment with “thanks!” instead of weakening it.

Living to the MAX in this so busy world

Flexibilisation of society makes people restless and restless. For some, this endless life is a pleasure and a privilege, and for others it is a curse. We are all intertwined in a society that surrenders itself completely to the rat race in order to get the most out of life. Especially the elitist nature of this phenomenon and the problem of maintaining control over your life must be kept in mind when you hear a hymn of praise about endless life.

Restless people
Living life to the max, taking out what’s in it. That seems to be the motto of our time. We want to progress in our work, maintain a large circle of friends, have a healthy lifestyle, be a good parent and partner, and develop ourselves. The flexibilisation of society and a variety of new technologies also makes it possible to do all this interchangeably. It’s just as easy to do an errand or exchange the latest whatsapps while you’re at work as it is to prepare a meeting for the next day on the couch in the evening. No wonder we’re busy and sometimes need some rest.

Restlessness, a plea for an endless life, the ‘busy, busy, busy’ that we hear all around us is not a call to take it easy. Nor is it a phenomenon that is particularly new. We are restlessly looking for new challenges.
We prefer hunting to loot. When the booty is in, boredom and restlessness are imminent. It is true that we reward ourselves with a temporary moment of dispersion, but then the next item on the infinite agenda soon follows.

Our fundamental motive is the continuous pursuit of progress.
Who you are and what you do is no longer a fixed fact, which means that you have to make choices over and over again without knowing whether they are the right ones. That creates restlessness. We live like an acrobat who doesn’t know exactly which exercises will keep him from falling. All that remains for us to do is to be constantly alert to the risks of life and then plunge fully into active life. This is how we build an existential CV. This construction project only ends when death occurs. I don’t scare you as a reader, but read on…

…who are also looking for peace and silence

At the same time, modern man is regularly visited by a little devil who offers us a quiet and ascetic existence. In order to (temporarily) escape the hectic existence we regularly resort to zen or other forms of meditation, mindfulness and yoga. It does not bring real peace, because the lesson, exercise or course has not yet ended or the project ‘life’ has been revived.
As long as we remain at the mercy of our wishes – with all the hope and fear that this entails – as long as we are subject to our will, we will never have lasting happiness or peace.
At the same time, our life, combined with the constant acceleration of our existence, which is accompanied by a strong increase in means of communication, the fact that we are always online and the pursuit of ever more fleeting goals, can affect the quality of our existence. The continuous flow of communication that results from this leads to superficiality.

For me, that’s a side issue. I especially see the opportunities, the challenges, the possibilities to lead a passionate, exciting turbo life and advocates for an endless immersion in the ‘vita assets’. Why should we live a quiet or balanced life? Many will repeat it to me and live by it, because blogger, speaker, husband, friend, etc. and probably much more, an exponent of my own philosophy.
Personally, I am also very sympathetic to things and try to get the most out of it, just like others.
In my opinion, two aspects remain underexposed, which are important to understand whether restlessness really is such a blessing for the modern man of our time. The first concerns the question of the distribution of opportunities and possibilities to live a passionate life.
The second question concerns the organisation of restless life and the fact that each individual is part of numerous networks and associations which make demands on him or her or at least have expectations about the active involvement of the individual.

Many of you all experience the same restlessness and are satisfied with it because it gives a feeling of real life: performance on many fronts simultaneously leads to the feeling of a fulfilled life. In principle, this should apply regardless of rank or status – and in a way, of course, this is the case. The nurse, agent, garbage collector, teacher, bank employee or shed can all go down in a restless existence. They can throw themselves into their work to make the best of it. As a thoughtful person, I can also say that restless life is mainly reserved for the Goliaths of our world.

Control
That brings me to my next point. To what extent is the individual still at the helm when the social relationships in which he or she participates demand more and more of him or her? What is the space to say no or to do anything other than what the environment demands of us? If we are part of different (sub)systems in which we play a role – be it within our immediate family, our work, the sports club, or any other context – then we are expected to be actively involved.

It is not enough, then, to say that crowdedness is not an exclusive challenge for our time, nor that a lack of experienced meaningfulness of life can also arise in an environment that is free from social pressure. The central question is whether the organisation of our life and work leaves the individual in all his or her subsystems the (control) space to operate the accelerator of restlessness.
Differences in degrees of freedom and control space between different groups of individuals require further analysis in order to determine where and when the risks of restlessness also leading to serious forms of stress increase. This is not just about the ‘coping behaviour’ of an agile acrobat, but about creating safe structures in which others can also enjoy their restlessness. Where that does not happen, restlessness seems to be the privilege for those who can afford it.

There is always a sacred need in the working environment and in the private sphere. However, this is not only a sacred must that is imposed from the outside, but is also stimulated from the inside. The challenge, however, will be to find the control panel and gain control of it, because ‘Living to the max’ explicitly includes risks – for ourselves and for the connections and networks of which we are a part.

I hope that with this somewhat philosophical approach I have informed you as a reader enough to press your brake pedal and to evaluate yourself and make adjustments where necessary.

In nature there is almost no waste, everything is reused. Just as we can use the natural cycle for our own gain, we must also be able to come sooner or later to a diverse ecosystem of money that can do us all good in, among other things, the Caribbean.

For deep consideration I wish to quote the following:
People who are concerned about sustainability - with issues such as climate change, environmental degradation, food and water shortages, population growth and energy consumption - are inclined not to worry too much about the money system. They are also not looking for solutions in monetary innovations. Even economists who are also concerned about sustainability are rarely aware that our money system systematically encourages unsustainable patterns of behavior that eventually threaten the survival of people on this planet.

Is money monoculture or a large pyramid scheme that increases inequality in the world.
There is hope:
 The good news is that the information and communication revolution that we are experiencing today is pushing us in the right direction.
The Caribbean Region is facing major challenges.
